BOOKING TERMS & CONDITIONS

Welcome to Pemba Tours & Travel! We’re thrilled to help you plan your dream safari in Tanzania. To ensure a smooth and enjoyable experience, please review our comprehensive booking terms and conditions. By making a booking with us, you agree to the terms outlined below.

1. Booking and Confirmation

  • Booking Process: To reserve your safari, we require a completed booking form, along with your selected safari package and itinerary. Upon receiving your booking request, our team will confirm availability and provide you with a detailed itinerary.
  • Deposit: A non-refundable deposit of 30% of the total safari cost is required at the time of booking to secure your reservation. This deposit can be paid via bank transfer, credit card, or other accepted payment methods.
  • Final Payment: The remaining 70% of the total safari cost is due 60 days before the departure date. If you book within 60 days of your safari departure, full payment is required upon confirmation of the booking.
  • Confirmation: Once full payment is received, we will issue a final confirmation along with your detailed itinerary, travel documents, and any additional instructions.

2. Cancellation and Refund Policy

We understand that plans can change. Our cancellation policy is designed to be fair, while also taking into account the logistics and costs of operating safaris. Please refer to the following guidelines:

  • Cancellation by the Traveler:
    • More than 60 days before departure: 100% refund of the balance paid (minus the deposit).
    • Between 30–59 days before departure: 50% refund of the total safari cost.
    • Less than 30 days before departure: No refund available.
    • Non-Refundable Deposit: The deposit paid at the time of booking is non-refundable, as it is used to secure services and accommodations for your safari.
  • Cancellation by Pemba Tours & Travel: In the rare event that Pemba Tours & Travel needs to cancel your safari due to unforeseen circumstances (e.g., natural disasters, political unrest, or force majeure), we will offer you the option to rebook for a different date or issue a full refund of all payments made.

3. Amendments and Changes to Bookings

  • Change Requests: If you wish to make changes to your booking after confirmation (e.g., changing dates, accommodation, or tour activities), we will do our best to accommodate the request. However, any changes are subject to availability and may incur additional charges.
  • Date Changes: Changes to travel dates will be subject to the availability of the selected safari package and may result in price adjustments.
  • Late Arrivals: If you arrive late for a scheduled safari departure, we cannot guarantee that missed activities will be refunded or rescheduled.

4. Travel Insurance

  • Mandatory Travel Insurance: Travel insurance is mandatory for all travelers booking with Pemba Tours & Travel. The insurance should cover medical emergencies, trip cancellations, trip delays, lost luggage, and emergency evacuation.
  • Proof of Insurance: Please provide a copy of your travel insurance policy or confirmation before your departure. This will ensure you are covered in case of unforeseen circumstances or emergencies during your safari.

5. Health and Safety

  • Medical Requirements: It is the responsibility of each traveler to ensure they are fit for travel. We strongly recommend that you consult your doctor before embarking on your safari, especially for vaccinations and malaria prophylaxis. Vaccinations for Yellow Fever and Typhoid are often required.
  • Health Declaration: Travelers with any pre-existing medical conditions, disabilities, or special requirements must inform Pemba Tours & Travel at the time of booking to ensure appropriate arrangements can be made.
  • Emergency Evacuation: In case of a medical emergency during your safari, Pemba Tours & Travel will assist with evacuation procedures. However, any associated costs, including airlift and medical care, are the responsibility of the traveler and should be covered by their travel insurance.

6. Safari Vehicles and Guides

  • Vehicles: Our safari vehicles are specially designed for game drives and are equipped with open roofs for optimal wildlife viewing. Vehicle type and seating arrangements may vary depending on the safari package.
  • Professional Guides: All of our guides are highly trained, knowledgeable, and experienced in navigating Tanzania’s parks and wildlife areas. Our guides are dedicated to providing an informative, safe, and enjoyable experience for all travelers.

7. Accommodation

  • Lodging: Accommodation will be arranged as per your safari package and preferences (e.g., luxury lodges, tented camps, or mobile camps). In some remote areas, accommodation may be basic, but always comfortable and safe.
  • Upgrades and Modifications: If you wish to upgrade your accommodation after booking, we will do our best to facilitate the changes, but this is subject to availability and may incur additional costs.
  • Rooming Arrangements: Twin, double, and single room options are available. If you are traveling with others and wish to share rooms, please notify us at the time of booking. Single occupancy may incur a supplement.

8. Responsibility

  • Traveler’s Responsibilities: Each traveler is responsible for ensuring that they have the proper travel documents (such as a valid passport and visas), comply with local laws and customs, and follow instructions provided by our guides and staff during the safari.
  • Behavior: Pemba Tours & Travel reserves the right to ask any traveler to leave the safari if their behavior is deemed disruptive, unsafe, or disrespectful to others. In such cases, no refund will be provided.

9. Force Majeure

Pemba Tours & Travel will not be held responsible for delays, cancellations, or any issues arising from circumstances beyond our control, including but not limited to:

  • Natural disasters (earthquakes, floods, wildfires, etc.)
  • Political unrest or war
  • Strikes or industrial action
  • Health crises (such as pandemics or disease outbreaks) In the event of force majeure, we will assist travelers in making alternative arrangements where possible, but we are not liable for any additional costs incurred.

10. Complaints and Disputes

  • Complaint Procedure: If you are dissatisfied with any aspect of your safari, please inform your guide or a member of our team immediately, so we can address the issue while you’re still on the safari.
  • Dispute Resolution: Any unresolved complaints or disputes should be submitted to Pemba Tours & Travel in writing within 14 days of completing the safari. We will work to resolve any issues promptly and fairly.

11. Photo and Video Consent

  • Photography: During your safari, our team may take photographs or videos for promotional purposes. If you do not wish to be included in these, please inform us in advance.
  • Guest Photography: We encourage our guests to take photographs of wildlife and landscapes but ask that you do so in a manner that doesn’t disturb the animals or the environment.

12. Privacy and Data Protection

Pemba Tours & Travel values your privacy. Any personal information provided during the booking process will be kept confidential and used only for the purpose of facilitating your safari arrangements. We adhere to data protection laws and regulations.
