Welcome to Pemba Tours & Travel! We’re thrilled to help you plan your dream safari in Tanzania. To ensure a smooth and enjoyable experience, please review our comprehensive booking terms and conditions. By making a booking with us, you agree to the terms outlined below.
We are delighted that you have chosen to travel with Pemba Tours & Travel to experience the incredible wildlife and stunning landscapes of Tanzania. To ensure a smooth and hassle-free booking process, we’ve outlined our Booking Payment Terms below. These terms are designed to provide transparency, clarity, and peace of mind throughout your safari planning journey.
- Booking Process
To secure your safari with Pemba Tours & Travel, please follow these steps:
- Initial Inquiry and Itinerary: Upon your inquiry, we will provide you with a customized itinerary based on your preferences, including accommodation, activities, and dates.
- Booking Confirmation: Once you confirm the itinerary and wish to proceed, we will send you a Booking Confirmation that outlines all the details of your safari, including the total cost, accommodations, and activities.
- Deposit: A non-refundable deposit of 30% of the total safari cost is required at the time of booking to secure your reservation. This ensures that we can reserve your accommodations, vehicles, and guide services.
- Payment Methods
We offer various secure and convenient payment methods for your booking:
- Bank Transfer: We will provide our bank details for direct transfers. Payments must be made in full by the due date to avoid any booking issues.
- Credit or Debit Card: Payments can be made securely via credit card (Visa, MasterCard, or American Express). A small transaction fee may apply for card payments.
- Online Payment Portal: For your convenience, we offer a secure online payment portal, allowing you to pay directly through our website.
- Mobile Money (for Tanzania residents): For local Tanzanian clients, we also accept mobile money payments (e.g., M-Pesa, TigoPesa).
- Payment Schedule
We have established a payment schedule to make the process as smooth as possible:
- Deposit Payment: To secure your booking, we require a 30% deposit of the total safari cost at the time of booking.
- Balance Payment: The remaining 70% balance is due 60 days prior to your safari departure date. If you make a booking within 60 days of departure, full payment will be required immediately.
- Payment Confirmation: Once we receive your payment, we will send you a Payment Confirmation email with the receipt and updated booking details.
- Late Payment and Penalties
- Late Payment: If the final payment is not received by the due date (60 days before departure), Pemba Tours & Travel reserves the right to cancel your booking and apply cancellation terms (refer to our Cancellation Policy).
- Rebooking Fees: If you miss the final payment deadline and your booking is canceled, you may incur rebooking fees if you wish to rebook the safari for a different date.
- Currency and Exchange Rates
- All payments are quoted in USD (United States Dollars), and any transactions must be made in USD.
- Currency Exchange: If you are paying in a currency other than USD, please ensure you account for the exchange rate differences and any transaction fees imposed by your bank or payment processor.
- Confirmation of Payment
Once your deposit or balance payment has been received, you will receive an official Payment Confirmation from Pemba Tours & Travel. This will include a detailed summary of your booking, including your payment status, balance due (if applicable), and other important travel information.
- Payment for Optional Extras and Add-ons
- If you choose to add optional extras, such as a hot air balloon ride, cultural tour, or extra nights, we will provide you with an updated invoice reflecting the new total.
- These add-ons should be paid in full by the same payment schedule (i.e., at the time of booking or 60 days before departure).
- Any optional add-ons booked closer to the departure date should be paid immediately to avoid delays or service unavailability.
- Refunds and Cancellations
- Deposit Refunds: The deposit paid at the time of booking is non-refundable, as it secures your accommodation, safari vehicle, and guide services.
- Full Payment Refunds: If you cancel your safari more than 60 days prior to departure, the balance payment (after deducting the non-refundable deposit) will be refunded.
- Cancellations within 30 days: No refund will be issued for cancellations within 30 days of departure. We highly recommend purchasing travel insurance to cover potential cancellations.
- Final Payment Reminder
To help ensure that your booking is secured, Pemba Tours & Travel will send you a reminder email approximately 7 days before your final payment is due. This reminder will include details of your payment schedule and the remaining balance to be paid.
- Changes in Price
Pemba Tours & Travel reserves the right to adjust prices in the event of significant changes in the cost of services (e.g., accommodation, park fees, fuel prices, or currency fluctuations). In such cases:
- We will inform you of any changes as soon as they occur.
- If the price increase exceeds 10% of the original booking cost, you will have the option to cancel your booking with a full refund (minus the non-refundable deposit).
- Payment Security
We take the security of your payments seriously. Our payment systems are PCI compliant and encrypted to ensure that your financial information is kept safe. Whether you are paying by bank transfer, credit card, or online portal, your payment details will be protected.
- Travel Documentation
Upon receipt of your final payment, you will receive:
- A Booking Confirmation email.
- An Invoice detailing your payment.
- Travel documents, including an itinerary, voucher for accommodation, and any additional activity bookings.
You are required to carry all these documents during your safari for smooth access to all services and accommodations.
- Payment and Currency Risks
- Fluctuating Exchange Rates: As exchange rates can fluctuate, please ensure you check the current rate when making payments in currencies other than USD to avoid discrepancies.
- Bank Fees: Any bank or payment processing fees related to currency conversion, international transfers, or credit card processing are the responsibility of the traveler.
